mailPrimer 1-2-1 : FAQ's
Email marketing has been traditionally associated with mass mailing of one document [newsletter / promotion email / etc...] to many recipients willing [permission based] or not [spam] as a one-off, regular or not, promotion and with a view to generate prospects. 1-2-1 email marketing takes this concept on its head: it is just starting from the inception that email has now become the most prefer method of communication within a business environment and that thus most emails sent and received everyday are "permission" based - i.e. the sender and / or recipient within an email exchange are both in relationship with each other over a specific business matter and thus receptive to things such as re-enforcement of branding values / cross-selling offers / information up-date about latest offerings, Press Release, customer wins, etc... By designing and using specific email templates that have been crafted to meet these specific needs, marketing teams using mailPrimer can pin-point their marketing and sales messages to leverage these daily unique selling and communication opportunities, while ensuring that their companies brand values are easily and centrally kept in control. Moreover, by tracking emails sent and allowing primed templates to display automatically ad-hoc dynamic content that you and your team can create and up-date anytime, mailPrimer empowers your everyday communication, leveraging the 100s of email that you and your organisation are sending everyday. Communicating, up and cross selling to your stakeholders on a daily basis at no cost has never been that easy. How does mailPrimer work? mailPrimer intercepts all your outgoing emails after they have left your SMTP server or your ISP provider, reformats the text using the font / background colour, etc... that you have selected as your corporate identity, includes the sender details - if required - as well as any company disclaimer and then applies the HTML email template associated with the sender's email address. Once fully formatted, the result is encapsulated using MIME and on-sent. The recipient's email client will then pull either the text or the HTML version, depending on whether or not it supports HTML viewing. In all cases, elements such as sender's details and disclaimer will always be displayed. Because emails today are mostly synonymous with spam, ensuring a 99.9% deliverability of your email has always been paramount to our success, we have developed a unique, highly complex / powerful yet really simple to use real-time optimisation technology that assess the capabilities of the recipients' environment and select the right template [full HTML / Light HTML / super light HTML / Text only] so that your emails always display correctly. What do we need to change in the way we work today? Nothing. There is no software to install on end-users' client, nor any training required. Furthermore, we have designed mailPrimer to be compatible from the onset with all leading email servers, including Microsoft Exchange, Lotus Notes and Sendmail, as well as with all email clients including Microsoft Outlook 98/2000/2003/2007, Microsoft Outlook Express, Netscape Navigator, Lotus Notes, Novell GroupWise, web mails, etc... Finally, mailPrimer also works with any PC, Mac, hand-held and mobile phone, whether they are running Windows 98/NT/2000/XP, UNIX and Linux. Should you use our ASP version, you only need to modify your existing mail server settings so that your ISP redirects emails to our own ASP server over a very fast secure link. If you are using mailPrimer on a server within your firewall settings are even easier: you just need to direct your emails to our application when they leave your SMTP server. In both cases, mailPrimer offers a set of rules allowing you to decide whether or not you want your emails to be "primed" when they are sent internally or not. You may also want to use a specific template for internal emails in order - for example - to ensure optimum internal communication... Will mailPrimer slow down my emails? What is the size's impact? mailPrimer has been designed to have a negligible impact on your email system, whether you are sending 100s or 1000s of emails a day. As mailPrimer doesn't send any HTML images when you are sending your emails: images are downloaded from either our ASP server or from within your own server is you are using our Server version when your recipient reads their emails. As our templates are very light downloading [typically + 5kbs] them even on a 28.8kbps phone line will only add 5s download time. Furthermore, as we are using your recipient own email client's cache, these HTML templates do not need to be downloaded each time but only occasionally when this cash is flushed. Which also means that, once downloaded, your recipients will still see your template even if they are working online. Will mailPrimer slowdown my email traffic? No. Our mailPrimer ASP solution has been designed to accommodate 1000 customers each with 10s of users without any significant impact on its performance. While our Server solution will work without problems regardless of your company size / the number of emails you are sending daily. Both versions have been designed to be scalable so that they can easily grow with your needs. How easy is it to manage mailPrimer? Very. We offer a secure web interface allowing you to be totally in control of who receives or nor "primed" emails through setting up simple rules. You may for example wish for some IP ranges and / or email addresses [@xxx.com for example] not to receive HTML emails as they are still using an older version of Lotus Notes that can't display properly HTML emails. Or decide that all internal emails are to be unbranded. Or select a special "internal communication" template ensuring that everyone is informed of your latest success / PR / intranet / etc... Or even assign one template per product and / or sales manager so that each is totally focused on a specific offering and/or related products... All in simple steps... You can of course restrict access to these functions through user rights so that - for example - only specific staff can modify specific templates through a multi-user / multi-level user password system. How easy is it to modify my templates' dynamic links? Again, very easy: you just need to log-in, select the template you need to modify and then select the link(s) you need changed. That's it: any email sent thereafter using the modified template will display your modify links. Can mailPrimer cope with email clients that still do not support HTML? Yes. We have designed mailPrimer so that it automatically serves the template adapted to the capabilities of your recipient, with a fall-back template set by you that can be either full HTML, light HTML (banner), super light HTML or even text only - depending on your preferences. 85% of all mailPrimer recipients can receive full HTML, 97% light HTML, 99% super light, and - of course - 100% text only. mailPrimer also automatically serves a text only version of your email that still includes the sender's personal details and any disclaimer that you have selected for those recipients using a non HTML enabled device such as PDAs / mobile phone. Does mailPrimer work with antivirus / spam filters? Yes. We have designed mailPrimer so that it works perfectly though all antivirus / spam filters and firewalls, including mail marshal. Your "primed" emails will go through in exactly the same way as they would if you didn't use mailPrimer. Can I decide to send an email without it being "primed"? Yes. You just need to use a simple code within the subject field that will be automatically removed when forwarded. Can I use mailPrimer when I am out of the office? Yes. We have designed mailPrimer so that it also allow you to "prime" email when you are on the move, whether using your pc on a dial-up connection, your mobile phone or even your PDA. As mailPrimer doesn't add any HTML image when sending emails, your dial-up time will be exactly the same than normal. How can I set-up mailPrimer templates. We design your templates to ensure that your brand values are fully reflected, while also ensuring that the result will be as light as possible. Thereafter, we can easily and cheaply either re-use the same template to create multiple versions that you can then customise easily for each to offer specific dynamic links and / or look and feel to meet your target segment's requirements. Or ask us to design more specific templates for you. How long will it take to implement? Implementing mailPrimer is very straightforward, whether you decide to go for our ASP or our server solution. Our clients frequently comment just how painless the mailPrimer integration is, a typical turn-around timeframe behind around 2 to 3 weeks from start template design, to finish. We are happy to provide references from our clients' IT department managers. mailPrimer is surely expensive / we can do it ourselves? We have priced mailPrimer to ensure rapid market adoption. So you are most probably already spending far more on coffee for your staff than you would on mailPrimer! Indeed, in most situations, a full mailPrimer installation would be 1/3 of what you spend already on business cards and letterheads for same! Moreover, mailPrimer is state of the art technology that offers a truly unique eMarketing platform allowing you to fully control on branding / communication / cross and up selling to your recipients, whilst getting detailed an precise reports on what message actually work - regardless of your organisation's size! Long is gone the time where companies developed in house their spam filters / anti-virus... Same today with email marketing management! What if we don't want my full branding to appear on our internal email? No problem - because mailPrimer is versatile we can easily set it up not to add the full template to internal emails. Conversely, one could also as easily decide to use a separate internal communication template for all internal email! We are placing a mission critical application - our emails - in the hands of a third party! Isn't that risky? We fully appreciate how important email is to your business.
